  • Why share Documents?

Simply put, to allow colleagues and partners to refer back to your experiences and use them to improve, enhance and facilitate their work.

Documents allow members to share information on concepts (concept notes developing new ideas), process (e.g. terms of reference, training materials), results (for example mission reports), people (e.g. a participants list), analyses (e.g. presentations in a workshop), etc.

Documents also trace the progress of UN-REDD activities and allow greater transparency.

Note that while reliable and timely data is is important for effective knowledge management, it is only one part of the picture.

  • What documents to share?

You are encouraged to share programme documents, mission terms of reference and reports, materials for/from trainings, workshops and side events, technical documents, meeting minutes, publications and resources about or relevant to REDD+, briefings, contracts terms of reference, communication pieces, photos...and anything that you have found useful or that reflects your work and that you think could benefit colleagues and partners. Note that the UN-RED Programme draft disclosure policy* also lists a number of disclosure requirements.

  • How do I do it?

Click on Upload a Document and follow the three steps (more details here).

Note that :

    • Documents should be preferably uploaded in pdf. Please refrain from using documents with extensions .xlxs, .docx or .pptx as a number of users cannot open these.
    • Documents titles should follow the following format: Title (as specific as possible, ex : presentation on XX provided at XX meeting)- Author (person and/ or institution)- Date (as Day Month Year). This is important as it significantly improve the search function!
    • Adding tags takes a few seconds and greatly improves searches
    • Documents in language should bear titles in this language.

 

  • Where do I file documents?
    • All Documents is structured around 10 folders. Each of these has sub folders (and sub-sub folders).
    • Any document can be filed simultaneously in two folders.
    • Certain users can also create a folder under All Documents. If you are unsure, you can request for a sub folder to be created at
  • What happens after I've posted  a document?

1. Your document now automatically appears on the front page under "latest documents".

2. In addition:

    • if filed under a country folder a link will automatically appear under "latest documents" on the corresponding country page
    • if filed under a thenatic area a link will automatically appear under "latest documents" under the work area under "Global"

3. You may also wish to further draw attention to it by :

    • alerting colleagues and partners through the "send email by outlook" button
    • creating an announcement under "What's Happening" on the front page or in country pages to alert amd highlight a specific document or series of documents. It has been calculated that posting such announcement triples the average number of downloads of documents it refers to.
    • creating a link to a folder or a document

4. A "send an email" button will allow other workspace members to contact you directly should they want more information about it

Some users may be able to request for this document to be posted on the public website. To do this, simply click on the "post on www.un-redd.org" button. Note that the final decision on what to post on the website pertains to the UN-REDD Programme Secretariat, in accordance with relevant disclosure policies.

For the Global Programme:

Global Programme document, Global Programme submission forms to the Policy Board and TORs of consultants. This also includes requests to participate on the UN-REDD Programme, letters of acceptance to the Programme, workshop documents and reports, mission reports , presentations, studies produced by the UN-REDD Programme, and meeting documents and reports (when available).

For the National Programmes:

This includes final National Programme documents, independent technical review reports, validation meeting minutes, TORs of consultants, and submissions to the Policy Board. This also includes (when available): mission reports,  stakeholders meeting reports, inception reports, a list of public and private institutions that are involved in program design, implementation, administration and monitoring as it develops, work plans, studies produced by the UN-REDD Programme, workshop documents and reports, meeting documents and reports.
